SCOPE & RESPONSIBILITIES
Coordination Support:
- Liaises across EF teams and within the GP team to actively manage team level calendar and logistics (including recurring meetings, team sessions and retreats annual planning and budget planning);
- Supports internal team coordination (record of meetings, follow up to action items, etc, helping project manage deliverables) to increase team efficiency;
- Coordinates the logistics of meetings and strategic programmatic events including providing support to team members organizing travel, site visits or other stakeholder engagement, virtual or in person consultations with the feminist community, grantee partner visits to Canada, online webinars, docket meetings, teaming sessions and learning labs;
- Establishes rapport with collaborating departments and teams in order to successfully achieve team goals;
- Works with Communications colleagues to coordinate GP team’s communications deliverables and products;
- Liaises with Finance colleagues on behalf of the GP team to facilitate key financial processes including procurement, event budgeting, invoices, and purchase orders;
- Coordinates multilingual translation and review of translated materials;
- Coordinates with the Grant Operations and IT team in record keeping and knowledge management ; and
- Enhances document filing system and records management.
Administrative support:
- Provides administrative support to the design, build and implementation of grantmaking streams;
- Obtains quotes, procures vendors (i.e. translation, interpretation, venues, catering) and submits purchase order requests;
- Provides technical support during online meetings such as slide sharing, breakout rooms, participant polls, etc;
- Coordinates travel arrangements for Co-VPs and assists with filing expense claims;
- Assists with the triaging of incoming requests through EF’s general email inbox and correspondence from grantee partners; and
- Undertakes additional duties as required, including providing surge support in moments of the grant cycle where the volume of grants to be processed is particularly high.
