ABOUT THE POSITION
The Hive Fund is seeking an administrative and operations fellow to support our small but mighty team in achieving their programmatic goals over the next two years. This newly created role presents an exciting opportunity for an early- to mid-career candidate to learn about philanthropy from the inside. The fellow is also invited to participate in program meetings to learn about climate/racial/gender justice movements and grantee partners across the South. The ideal inaugural Admin and Ops Fellow is someone both passionate and skilled in playing a supportive role within a team, bringing a can-do spirit and commitment to rigor and excellence, as well as a sense of humor and collegiality.   
 
ESSENTIAL JOB FUNCTIONS 
Operations  
Assist Operations Manager with:  
  • Liaising with our fiscal sponsor to manage all contracts with vendors and consultants 
  • Submitting and tracking contract invoices and payments to ensure that contracts and payments stay on track 
  • Helping create protocols and processes to keep relevant Hive staff, vendors, consultants up to date on payments  
  • Managing expenses and honorariums for advisors, Hive Fund grantees presenting at conferences/events, and other ad hoc payments 
 
Program 
Assist four Program Officers with:  
  • Carrying out event planning logistics for grantee partner meetings and convenings as needed 
  • Filing and verifying grant proposal and report documents in grants management system 
  • Tracking workflow of proposal document submissions with grantees during twice a year docket cycles, and interim report submissions throughout the year 
  • Maintaining and updating information in the grants management system as needed 
 
Administrative 
Help Executive Assistant with: 
  • Managing logistics for in-person staff retreat twice a year and advisory board meetings 
  • Maintaining vibrant, collaborative, rigorous, and celebratory organizational culture 
 
Funder Engagement 
Help Strategic Partnerships Director with: 
  • Filing grant proposal and report documents, requirements, and agreements as needed  
  • Conducting research on funder prospects as needed 
 
SKILLS & QUALIFICATIONS 
Candidates should have most of the following attributes: 
  • At least four years professional experience 
  • Demonstrated skill with MS suite, including Excel, Word, and Outlook 
  • Experience working with a CRM system 
  • Comfortable working in a fast-paced, yet methodical fashion with excellent attention to detail and time management 
  • Self-starter and proactive in finding solutions 
  • Professional, caring, and respectful oral and written communications skills across a diversity of constituencies and platforms 
  • Ability to prioritize across multiple tasks and support various programs simultaneously 
  • Highly collaborative work style and experience contributing to a positive organizational culture 
  • Familiarity with climate, gender, and racial justice movements and issues 
 
LOCATION
US Remote. Ideally based in Houston, Durham, or New Jersey, but not required 
 
COMPENSATION & BENEFITS 
This is a temporary (two-year) full-time salaried position with comprehensive benefits. The salary range for this position is $80,000-$90,000 annually, commensurate with qualifications.
