About the Opportunity
The WILD Network seeks a highly organized, detail-oriented, and personable Event Manager to oversee our public events and private convenings. Reporting to the Senior Director, this full-time role is vital to our growing team. Key responsibilities include planning, executing, and analyzing the performance of our virtual and in-person events, focusing on maintaining operational excellence.

Key Responsibilities:
Event Planning
Lead the optimization of the Whova online conference platform. Develop in-depth familiarity with its features to enhance the customer experience, including event agenda, networking opportunities, interactive sessions, exhibitor and sponsor engagement, virtual career fairs, and analytics.
  • Lead and oversee all event logistics.
  • Coordinate speaker engagements and manage the events calendar.
  • manage event budgets, including reporting on purchases, contracts, vendors, invoices, and expenses.
  • Prepare run-of-show documentation and Edit, prepare, format, distribute, and manage event invitations and registrations.
  • Ensure accessibility accommodations and coordinate additional event elements such as photography, videography, and interpreters.
  • Configure event venues and generate day-of staffing plans.

Community and Partner Support
  • Research and secure event sponsorship, managing sponsor relations.
  • Serve as the main point of contact for sponsoring organizations.
  • Oversee knowledge sharing between delegation leaders and plan logistics for knowledge exchange webinars.
  • Manage the WILD Fellows program (scholarship recipients).

Event Execution and Analysis
  • Manage and run virtual events, working with program and studio production teams.
  • Represent WILD at events, greeting and interacting with attendees.
  • Provide oversight, direction, and troubleshooting for day-of staff.
  • Lead the improvement and development of event management processes and systems.
  • Advise stakeholders on creative event ideas and best practices.
  • Generate and analyze event-related metrics.
  • Monitor Q&A and comments from virtual participants.

Communications
  • Maintain and manage databases in MailChimp.
  • Coordinate e-announcements in conjunction with the Communications Team.
  • Program weekly on-demand videos.
  • Keep the Communications Director informed of dates in the events calendar.
  • Update WILD event websites and liaise with external designers for complex updates.

Qualifications:
  • BBA in Event Management, BA in Event Management, Certificate in Event Management, or equivalent experience.
  • Minimum of five years of event management and sponsorship experience, preferably in nonprofit or university settings; hotel and hospitality experience is a plus.
  • Experience organizing at least two virtual events with 500+ participants and 25+ speakers on platforms such as Cvent, Whova, or Hopin.
  • Experience organizing at least two in-person events with 200+ participants and 25+ speakers.
  • Experience in marketing and sales presentations to small groups.
  • Experience in the global development, humanitarian, or social impact industry is an asset.
  • Experience organizing community/network building and inclusive events.
  • Proficiency in office and teleconferencing technology, including Google Suite, Microsoft, Zoom, and other webinar platforms.
  • Experience with MailChimp, Wordpress, Whova, Asana, or equivalent applications.
