Women Deliver is a global feminist advocacy organization with a clear mission: to ensure that every self-identifying girl and woman can exercise full control over her body and life. We believe sexual and reproductive health and rights (SRHR) are the cornerstone of bodily autonomy and have convened gender equality advocates from all levels of power for almost two decades to advance this cause.
Responsibilities:
Administrative Support to the President & CEO (45%):
- Work directly with the President & CEO to support all aspects of their daily work routine.
- Organize and prioritize the President & CEO’s weekly responsibilities in coordination with the Head, Strategic Initiatives and Executive Engagement, including prioritizing emails and ensuring appropriate follow-up; compiling and communicating daily to-do lists for the President & CEO; debriefing and documenting meeting outcomes, next steps and action-items;
- Ideate, develop, and maintain Executive Office processes and procedures to enhance efficiency, collaboration, and internal communications among the Executive Office and all teams;
- Co-create annual Executive Engagement Strategies and institutional work planning alongside the Head, Strategic Initiatives and Executive Engagement;
- Other duties and projects as assigned by the Head, Strategic Initiatives and Executive Engagement.
Project Management (40%):
- Project manage Women Deliver’s institutional planning for global spaces, collaborating closely with the CEO, Senior Director, Collective Action and Head, Strategic Initiatives and Executive Engagement to define priorities, identify cross-team activities, map events. Maintain timely updates, effective communication, and documentation of organizational plans at priority moments
- Foster collaborative ways of working and communicating across teams and organizational functions to ensure organizational goals and objectives are accomplished.
Partnership and External Relations (15%):
- Contribute to the development of Women Deliver’s institutional partnership strategy and record-keeping, collaborating across teams to refine our partnership principles, develop “plans of collaboration”, ToRs, MoUs or similar;
- Contribute to effective data and partner-record management, serving as the organization’s Salesforce “super user” responsible for supporting organization-wide adoption and effective usage of the system in collaboration with the External Relations team;
- Maintain partnership records, on behalf of the President & CEO, in Salesforce, proactively documenting, informing and sharing key takeaways with relevant teams.
Qualifications
- 4-6 years of related, progressively responsible work experience;
- Experience in support of executive/senior managers faced with the challenge of prioritizing their time in a complex, faced-paced environment;
- Excellent calendar management skills; keen attention to detail; proficiency with productivity tools and an aptitude for learning new software and systems
- Strong experience in project management and ability to handle multiple projects and tasks with frequently shifting priorities;
- Deep familiarity with project management and relationship management systems such as Asana and Salesforce, among other programs/systems, essential;
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Confidence in communicating – verbally and written – with a wide variety of audiences, including executive level staff, partners, activists, and feminist leaders;
- Experience facilitating meetings, workshops, or similar, preferred.
- Ability to maintain confidentiality with sensitive information;
