Health
Planned Parenthood is the nation’s leading provider and advocate of high-quality, affordable sexual and reproductive health care for all people, as well as the nation’s largest provider of sex education.
Delivery:
● Supports time-sensitive calendar and workflow management for department leadership, new hire onboarding, and refresher sessions for team members on operations and finance best practices.
● Facilitates and coordinates needs for national campaigns and program meetings, including agenda preparation, material procurement, and note-taking and synthesizing themes and next steps for in-person gatherings, retreats, and events.
● Plans and executes administrative logistics for 10-12 annual Planned Parenthood partnership events and conferences, ranging from arranging travel for attendees and speakers to tracking program budget, ordering supplies, and reconciling expenses.
● Plans and executes logistics and run-of-show for 8-10 major annual nationwide organizing events and campaigns in collaboration with Planned Parenthood affiliates and partners, consisting of rapid response rallies, weekends of action, conferences, and summits.
● Administers financial operations and real-time budget tracking across department funding streams for national campaigns and programs, including agreement and payment processing for contracts and grants, credit card reconciliations, and staff/volunteer travel reimbursements.
● Maintains internal partnerships database in coordination with other Organizing vertical members and circulates monthly memos to the full Policy, Campaigns, & Advocacy division.
● Partners with program owners to get new vendors added to the Planned Parenthood partner database, with a focus on increasing the representation of BIPOC consultants and BIPOC-led firms, and putting contracts in place with the appropriate legal parameters.
● Provides ad hoc assistance on special projects related to OEC departmental campaigns and priorities.
Engagement:
● Collaborates with leaders across OEC department, and in other departments (e.g., Finance, the Office of General Counsel, Conferences & Events) to administer and execute operations processes, contracts, grants, events, organizing campaigns, budget, meeting management, internal communications, and special projects.
● Strengthens partnership building by staffing calls and meetings with affiliate public affairs staff, facilitating partner grant and sponsorship funding commitments, and compiling program resources to share externally.
● Manages communication with vendors and external partners around contracting, payment, and logistics.
Knowledge, Skills, and Abilities (KSAs):
● 2-4 years of past work experience, especially in operations, event planning, and/or budget & contract management.
● Strong organizational, analytical, and problem-solving skills
● Strong verbal and written communication skills.
● Strong judgment around confidentiality and discretion.
● Ability to work with internal and external stakeholders in a timely, tactful, and professional manner.
● Ability to work collaboratively and flexibly with a dynamic, fast-moving team, completing multiple tasks with poise, accuracy, and confidence.
● Ability to adapt to quickly changing priorities and ambiguous situations.
● High proficiency in Google and Microsoft Office products.
