Role Purpose:To provide proactive administrative support to the leadershipteam and ensure the smooth running of the office. To support the director with diary and email management.
Key responsibilities:
Reporting directly to the Director, you will be responsible for the management of her diary and email on a day-today basis aiming to maximise productivity and efficiency. This will include:
•Managing the busy diary of the Director ensuring meetings are scheduled and information up-to-date and complete
•Planning and booking meetings, equipment, travel and accommodation/venues and greeting guests
•Support preparation for meetings, ensuring papers are available in advance and follow up actions are completed
•Act as a note taker in meetingsas required; exercise sound judgment when taking and typing up minutes from meetings
•Assisting with the preparation of reports and presentations
•Assisting with the preparation of correspondence and entries on the case management system
Reporting to the Operations Manager, you will provide administrative assistance to the CWJ team, supporting the smooth running of the office and assisting with duties such as:
•Ordering of office supplies
•Advising and supporting the team with use of equipment, e.g. photocopier, computers, conferencing equipment
•Assisting with the organisation of training, conferences and other events
•Responding to queries via phone, emails and distributing post daily
•Acting as a note taker in meetings as required
•Providing ad hocadministrative support to the management team and the Board of Trustees
Person Specification:
•Strong organisational, administrative and diary management skills and experience
•Ability to work responsibly in dealing with confidential/sensitive information
•Excellent Microsoft 365 skills and be able to grasp new software/applications easily and teach others
•Well organised and good document management
•Self-motivated, enthusiastic, reliable, and adaptable
•Ability to manage and prioritise workload
•Ability to work effectively as part of a small team but also be proactive, use own initiative and to workalone when necessary
•Good attention to detail and proof-reading skills
